Volunteer summit organising committee leaders

  • Summit Coordinator

    The Summit Coordinator has a rare opportunity to inspire and lead a highly energized, multitalented, and deeply committed team of volunteers and professional service contractors in delivering the world’s greatest conference on AI and Open Data. The Event Coordiantor will work in close conjunction with the Summit Event Director, and GODA Summit Executive Committee (EC), professional service contractors, and volunteer conference committee to create and implement the conference.


    Managerial Responsibilities


    • Coordinate overall conference planning and execution to ensure all aspecs of summit run smoothly to give attendees a memorable experince
    • Comfort with navigating through change and adapting to unforeseen situations that impact the conference planning cycle.
    • Responsible for recruiting volunteer summit organising committee leaders
    • Responsible for managing the conference committee of volunteers and contractors who lead and support the content and service areas of the event.
    • Work with the conference committee to  plan the on-site presentation of content.
    • Ability to faithfully resolve and prioritize conflicting requests in a way that is in the best interest of the the conference. As the ‘coach’ for the committee, display the ability to manage a team with strong leadership skills.

    Fiscal Responsibilities

    • Ability to manage fluid budgets.
    • Authorize volunteer travel and operating expenses.
    • Work closely with the Event Director to negotiate and approve single-year contracts.
    • Work with other members of the EC to prepare Requests for Proposals (RFPs) and evaluate bids from potential contractors.

    Communication

    • Report regularly to the EC regarding all conference activities.
    • Facilitate and participate in timely communication with the committee to provide direction and solve problems.
    • Represent the GODA Summit to other organisations, the media, and the public-at-large.

    Meetings

    • Responsible for contributing to the planning of all conference committee meetings to maximize efficient use of resources including people, time, and money.
    •  Chair all conference meetings.
    •  Attend all conference committee meetings, EC meetings, and any other meetings as appropriate.

    Qualifications


    • Vast experience in conference coordination and management preferentially managing,coordinating and executing technology conferences
    • Conversant with technlogy industry issues.
    • Connected to an established network of individuals within the technology industry.
    • Strong, demonstrated, effective management expertise (able to articulate their own management style); able to manage a diverse group of people with varying needs, goals, and assumptions about their GODA Summit involvement.
    • Able and willing to devote the necessary amount of time to do the job; have solid support from both their employer and family. This position requires work during the day, after hours and over the weekend.

  • Workshop Coordinator

    The Workshop Coordinator leads a staff of volunteers to plan and implement a creative and robust workshop environment where summit attendees can experiment with various  technologies and explore preselected summit work. The Workshop coordinator oversees workshop content, schedules activities, and coordinates acquisition of equipment and resources for this hands-on workshop.  The Workshop Coordinator works closely with the Summit Coordinator, Conference Administration, volunteers, donors and contractors to create a creative and robust environment for attendees to receive hands-on experience with various output technologies.

The Sustainability Zones coordinator oversees zone sessions content, schedules activities, and coordinates acquisition of equipment and resources for this section of GODA Summit.  The Sustainibility Zone Coordinator works closely with the Summit Coordinator, Conference Administration, volunteers, donors and contractors to create a creative and robust environment for attendees to experience immersive, thought provoking sessions.

The Networking Lounges Co-Ordinator oversees lounge setup, content, schedules activities, and coordinates acquisition of equipment and resources for this section of the Summit.  The Networking Lounges Co-Ordinator works closely with the Summit Coordinator, Conference Administration, volunteers, donors and contractors to create a creative and immersive environment for attendees .

    The Student Volunteer Coordinator manages a large team of students who support the operational needs of the conference. In the process, these future artificial intelligence and data technique gurus gain valuable professional and personal experiences, are exposed to technology and innovative endeavors, and often meet and work with pioneers in the field. The Student Volunteer Coordinator works with the committee to implement the selection process, determine volunteer requirements for the various programs, and coordinates the student volunteer activities on-site. The Student Volunteer Coordinator works closely with the Conference Coordinator, the Conference Event Director, volunteers, and contractors to create a volunteer program.

    •Manage the on-site rehearsals and presentations of production sessions, including management of summit presenters, sponsors and partners to ensure all appropriate agreements are completed and each presenter is prepared for their session.

    •Work with the Conference Coordinator and Event Director to prepare preliminary and final conference budgets for the Production Sessions program 

    •Manage the Production Sessions budget

    The Summit Infrastructure Coordinator is responsible for the planning and implementation of the on-site networking infrastructure necessary to support the GODA Summit. The Summit Infrastructure Coordinator works closely with the Conference Coordinator, the Conference Event Director, volunteers, the event centre, and contractors to produce a sophisticated high-speed communication channel that links various programs within the conference both internally together and externally with the Internet.

    The following list is a “high-level” view of the specific responsibilities associated with serving as a Summit Networking Infrastructure Coordinator. The list is organized under general categories of responsibility.


    Strategic

    •Participate in strategic planning for the GODA Summit

    •Enhance the strategic direction for the networking infrastructure and develop new technical solutions to meet the requirements of new initiatives


    Management

    •Recruit and manage a subcommittee to assist in design, implementation, and support of the network infrastructure

    •Build an infrastructure that meets conference needs within event centre constraints

    •Procure through purchase or donation the necessary equipment and wiring to implement the network

    •Manage the selection of the conference Internet service provider or vet network provider sponsors

    •Manage the on-site installation, operations, and teardown of the network

    •Assist contributors and committee chairs with on-site network connections and troubleshooting

    •Work with subcommittee to design, install, and manage an on-site Internet access room for attendees

    •Give top priority to performance, reliability and support during the conference and exhibition week

    •Work with the Conference Coordinator and Event Director to prepare preliminary and final summit budgets for the network infrastructure

  • Digital Media Coordinator

    The Digital Media Coordinator leads a staff of volunteers to plan and implement a creative and robust media strategy and engagement efforts to boost our online presence and reach. The Digital Media Coordinator oversees digital media content across all summit digital channels.  The Digital Media Coordinator works closely with the Summit Coordinator, Conference Administration, volunteers, donors and contractors to create a highly creative and interactive digital experience to attract potential attendees, sponsors and partners or engage registered attendees at the summit.

The Digital Media Coordinator oversees engagement with all potential sponsors and partners.  The Digital Media Coordinator works closely with the Summit Coordinator, Conference Administration, volunteers, donors and contractors to create a highly creative and interactive digital experience to attract potential sponsors and partners.

    Eligibility

    Age


    Applicants must be 18 years of age or older (on or before 20 December 2024).


    Full Time Student Status


    Applicants must be/have been enrolled as a full-time high school, undergraduate, or graduate students for at least one semester between December 2024 and September 2025.


    Expectations

    • Student Volunteers and Team Leaders are required to complete training provided by the Student Volunteer Program after accepting a position.
    • Student Volunteers and Team Leaders will serve the conference in-person shifts on-site at summit.
    • Student Volunteers commit to volunteering about 25 hours to provide operational support for GODA Summit 2025 in pre-Summit shifts or the in-person summit. In exchange for their service and enthusiasm, Student Volunteers receive the highest level of registration for the conference, networking opportunities, and a number of exclusive Student Volunteer-only benefits.
    • Team Leaders are expected to volunteer about 60 hours to provide operational and logistical support for GODA Summit  2025 pre-summit shifts or the in-person conference. In exchange for their service and enthusiasm, Team Leaders receive the highest level of registration for the conference, networking opportunities, and a number of exclusive Student Volunteer-only benefits.

    For In-person Volunteers

    • You are expected to participate in GODA Summit 2025 all day from 17 September - 19 September 2025 in London.
    •  DO NOT plan to depart the summit venue earlier than 6 pm (GMT) on 17 September.
    • No housing or accommodation will be provided to Team Leaders or Student Volunteers.
    • Student Volunteers and Team Leaders can opt for financial assistance on their application form. If you are awarded financial aid, you will be emailed in July 2025 regarding the amount and how to process your reimbursement.

Volunteer Opportunities

GENERAL VOLUNTEER REQUIREMENTS

  • Time and Travel

    • GODA Summit  volunteer work requires a considerable investment of time. All the summit programs are critical to the success of the summit, so it is imperative that committee members not underestimate the time commitment required. It is also important that your employer and family understand this time commitment and be willing to support you in this endeavor. Volunteers are not compensated monetarily for their time.

    • All Summit committee members are required to attend the summit they are working on. Depending on the position, this can be 8-10 days for the summit

    • Over the  active planning period for the Summit, Summit Committe leaders are required to attend all committee meetings. 

    • After the Summit,Summit Committe leaders are to submit a final report about planning, execution, and post-event activities. These insights are shared at a wrap-up meeting after the Summit.

    • In addition to meetings, program chairs must spend adequate time connecting with appropriate people in the AI and Data space to stay abreast of the current issues that affect their programs and the summit.

    • Summit Committe leaders  are also required to devote adequate time to administrative duties, such as corresponding with their contributorsa and sub-committees.
  • Funding

    All Summit committee expenses related to Summit planning, such as travel, are paid for by the summit. Where possible, many companies support volunteers by providing phones, copiers, faxes, office supplies, administrative time, and even travel expenses. Expenses not covered by these contributions are budgeted and carefully managed by the Summit Executive comittee, committee chairs. Certain committee positions also receive support to pay for administrative expenses. 


    Committee members are not directly responsible for generating income. They are responsible for creating an exciting program for conference attendees.

  • Reporting

    Committee members are often asked to prepare status reports in preparation for committee meetings. A comprehensive final report is prepared for the wrap-up meeting after the conference. Between meetings, email and phone meetings are used extensively to keep everyone informed. Every committee member must allocate sufficient time for daily email processing.

  • Hardware/Software


     All committee members must have access to current computer technology for summit-related work. GODA Summit uses a standard software suite for word processing, spreadsheets, and database applications, which is available for loan to committee members. All committee members must also have reliable access to the internet including email, FTP, and web access.


  • Accountability

    Volunteer Committee Leaders should understand that they are ultimately responsible for all details of their programs. GODA Summit has a wealth of resources available in several contracted service organizations to help with detailed planning and production, but it is up to the program chairs to be sure tasks are organized in the most efficient and effective manner, and provide program oversight. The industry, the summit, and the rest of the committee depend on each committer leader to understand the entire process, evaluating procedures, and determining which are wise to maintain and which ones need updating.

  • How To Submit

    Building a desirable future through AI and Data technologoes starts with you and your participation in GODA SUMMIT 2025.


    All GODA Summit Student Volunteers must earn their position through our application process. 


    To be considered, applicants are required to complete the entire Student Volunteer application, which asks for enrollment information, contact information, professional references, and various essay responses. Applicants are encouraged to start collecting their application materials ahead of time, as well as to put generous time, effort, and consideration into their applications.


    Out of fairness to all applicants, late or incomplete applications will not be considered. There are no exceptions to this rule.


  • Evaluation

    After the 4 July 2025 Team Leader application deadline, all Student Volunteer Team Leader applicants are considered by the Student Volunteer Subcommittee (SVSC). We’re looking for candidates who have experience in leadership roles, customer service, volunteerism, other service-focused endeavors. 


    After the 4 July  2025 Student Volunteer application deadline, all Student Volunteer applicants are evaluated through a blind jurying process that lasts from 4th July to  31st July. Student Volunteer applications are judged on quality, clarity, proper completion, and thoughtfulness. We’re looking for candidates who can clearly communicate, support, and demonstrate leadership skills, passion for service, enthusiasm, and bring a unique value to collaborate with a diverse and inclusive team. All candidates must be able to communicate fluently in English. Candidates who can take direction and work well with others are especially welcome.


    All Student Volunteer applicants with completed applications will be notified of decisions by early August  2025. Accepted Student Volunteers will be required to confirm their position by mid-August.

    Am I eligible to apply to be a Student Volunteer at GODA 2025?

    You are eligible to apply if you meet the following criteria:


    •  You will be 18 years of age or older (on or before 20 December 2024).
    • You are/were enrolled full-time as a high school, undergraduate, or graduate student for at least one semester between December 2024 and September 2025.



    How do I apply to be a Student Volunteer?

    How do I apply to be a Team Leader?

    The application for becoming a Team Leader is the same application form you submit to be a Student Volunteer, plus a few additional essay questions. Applicants will be notified of their acceptance for Team Leader positions via email by mid-January 2025.


    Applicants who are not accepted as Team Leaders will still be considered for Student Volunteer positions and will be notified of the final decision by early mid January 2025.

    When is the deadline to submit an application to be a Student Volunteer?

    The deadline for all completed Student Volunteer applications is 6 December 2025, 22:00 UTC/GMT. (Convert to your time zone.) Please note that you will be required to upload proof of full-time student status (e.g., transcript, proof of enrollment, etc.).

    We recommend you allow ample time to gather this information from your institution before the due date. Without this documentation, your application will be marked as incomplete. Please comply with the submission deadlines and ensure that you submit your application by the appropriate day and time.



    Are late, partial, or incomplete submissions considered?

    No. Out of fairness to all applicants, late or incomplete applications will not be considered. There are no exceptions to this rule.


    What are “professional references,” and what are they expected to do?

    Professional references are professors, instructors, or someone you are currently working with, or worked with in the past, who can give us an idea of your character and would recommend you to be a Student Volunteer. Once you have submitted your application form and the application deadline passes, we will send an email with a survey, about you, to your professional reference for them to fill out!


    On your side, make sure that:

    • You provide your professional references’ valid email addresses.
    • They are informed that they are your professional reference (ask them if you could put them as your reference before you submit your application).
    • They adjust their spam filter so messages with the ‘info@godasummit.com’ domain will not be placed in their junk-mail folder.

    My school does not issue transcripts. What should I use for proof of student status instead?

    Documents required for the application include a current transcript (official or unofficial) or an enrollment verification letter from your institution’s registrar. This is to confirm that you are/were enrolled full-time as a high school, undergraduate, or graduate student for at least one semester between January 2024 and December 2024.

    When and how will I be notified if I have been accepted as a Student Volunteer?

    All applicants who submit a completed application will be notified via email mid January 2024


    Who will jury my Student Volunteer application?

    Student Volunteer applications are juried by the Student Volunteer Subcommittee (SVSC) and Team Leaders. They are evaluated individually through a blind jurying process, meaning a Student Volunteer applicant’s identity will not be revealed until after all Student Volunteer applications have been juried and appropriately scored. This ensures an unbiased evaluation across all applications.




    What criteria will my application be evaluated on?

    Student Volunteer applications are as diverse as the thousands of applicants from around the world who make up our team. Apart from overall completion, eligibility, and proof of enrollment, we evaluate applications based on quality, clarity, and passion for AI and Data. We are looking for volunteers who are dedicated to service, take initiative, and can bring enthusiasm, passion, and value to a team.


    For Team Leaders in particular, we are looking to identify individuals who can clearly communicate their leadership skills, are interested in growth, show commitment toward diversity and inclusion efforts, have a history of great performance as a Student Volunteer, and can be trusted with a greater level of responsibility and decision-making authority.


    The Student Volunteer program is committed to diversity, equity, and inclusion (DEI) initiatives, thus we take into account gender identities, cultural background, disabilities, and other DEI aspects that can make our team as diverse and inclusive as possible.


    What should I mention in my Student Volunteer application?

    If you have experiences in leadership roles, volunteerism, and other service-focused endeavors, we’d love to hear about them. Applications that communicate clear examples of past experiences that make you an exceptional Student Volunteer are extremely helpful to our jurying team. We’re looking to build a very skilled and diverse team from the best of the best, and that effort begins with your ability to communicate your qualifications.


    Please read each application essay question thoroughly and allow yourself plenty of time to craft a thoughtful answer.


    Can I revise or add information to my application after the submission deadline?

    No. All submitted applications are evaluated as your final submission. Edits are not permitted after the submission deadline.

  • Student Volunteer Expectations

    I was offered a position to be a Student Volunteer in 2025. What does this mean?

    Congratulations! As a Student Volunteer, you will be volunteering about 25 hours of your time to provide operational support for GODA Summit 2025. In exchange for your service and enthusiasm, Student Volunteers receive the highest level of registration, networking with industry professionals and international student peers, and a number of exclusive Student Volunteer-only benefits.


    What will my duties as a Student Volunteer include?

    As a Student Volunteer, you commit to volunteering about 25 hours of your time for pre-summit shifts and/or shifts during the summit in London(during GODA Summit 2025). Your shifts will be diverse and can change depending on the needs of the Summit, but we always provide you with a notice before this happens.


    What are the expectations of a Student Volunteer?

    Gratitude is an integral part of the Student Volunteer program’s philosophy. We are thankful to be part of GODA Summit and be given this opportunity to serve others while celebrating our own passions. Attendees, fellow volunteers, conference comittee leader, and contractors are the reason GODA Summit happens every year — and they are the reason our job exists! We use this fact as fuel to treat every challenge and problem as an opportunity to express our gratitude. Accepted SVs joining the Student Volunteer program are expected to align themselves with this perspective.


    Above all, SVs are expected to serve the summit with professionalism, enthusiasm, friendliness, and helpfulness. This includes:


    • Treating fellow Student Volunteers, attendees, participants, conference volunteers, and contractors with the highest standards of respect and kindness
    •  Completing all assigned shifts or pre-conference tasks with the utmost quality
    • Being punctual and checking in for your shifts with your Team Leader (i.e., 30 minutes prior to your scheduled shift)
    • Arriving for your shifts prepared and following Team Leader instructions
    • Performing your duties to the very best of your abilities

    Failure to meet the aforementioned expectations may result in the loss of Student Volunteer status and all related benefits.


    What are some examples of Student Volunteer assignments for the conference?

    Some examples of Student Volunteer assignments from the past are:

    • Monitoring doors, taking tickets, checking badges of attendees at the different venues
    •  Facilitating spoken-language translations
    •  Assisting conference contributors at various venues
    •   Providing general assistance for attendees in all areas of the summit Center
    • Support of conference management tasks
    •  Helping contributors demo technologies or providing support in VR setups
    • No matter what, it’s always an adventure.

    When will Student Volunteer work schedules be available?

    For Student Volunteers, we plan to have schedules available to view about one week prior to the conference. We will release schedules as early as we can.


    Note: Schedules are not final until 24 hours prior to a shift. We try to change schedules as little as possible, but sometimes situations arise that make adding, moving, and/or otherwise rescheduling certain shifts necessary. Students are responsible for checking their schedules daily to receive any schedule updates.


    What happens if I have a scheduling conflict with work, school, an opportunity to interview at the conference, etc.?

    You will be assigned about 25 hours and your availability during that time must be open. Therefore, we cannot schedule around work, school, extracurricular activities, or job interviews. If you do find yourself with an extenuating circumstance, such as an interview for a job or internship, an appointment with a mentor, etc., inform us about it ahead of time and we will do our best to work with you on your schedule conflict. Most shifts will be between 7:30 am and 6 pm (BST).


    I am a Student Volunteer. When will I be expected to arrive in London?

    All accepted Student Volunteers MUST plan to arrive in London no later than 11:30 am (BST) on Tuesday, 14 October  2025, for check-in and the Student Volunteer orientation.


    This is MANDATORY for all new and returning Student Volunteers. Failure to arrive on time may result in loss of Student Volunteer status and all related benefits.


    Note: Mobile phones and tablets are not required to perform your assigned shift but will be useful for communicating with your Team Leader and the SVSC. Students should be dedicating their full attention to their assigned shift until dismissed from their Team Leader.


    I am a Student Volunteer. When should I plan to leave London?

    All accepted Student Volunteers should plan to be available for work through 6 pm (BST) on Thursday, 16 October 2025.


    I am a Student Volunteer. Will I receive housing or other financial assistance?

    For GODA Summit 2025, NO HOUSING will be provided to Student Volunteers. Each Student Volunteer is responsible for finding their own accommodation.


    Travel assistance might be provided to a number of Student Volunteers who applied for it. Student Volunteers can opt to apply for travel assistance on their application form. If you are awarded financial aid, you will be emailed in January 2025 regarding the amount and how to process your reimbursement. Travel assistance may be provided based on the Student Volunteer Program’s availability of funds and on eligibility, which is determined on a case-by-case basis based solely on financial need. Assistance goes through a blind jury process. It is not based on nationality or country/location of residence, anyone can apply and everyone will be considered equally. Funds are limited and assistance is not guaranteed.


    Please do not hesitate to book your accommodations/transportation as there will be no advance reimbursements. All aid amounts will be sent after the summit. If your accommodations/transportation exceed the amount you are awarded, you will only be reimbursed up to the amount you are granted.

    I have been accepted as a Student Volunteer but am no longer able to attend the conference. Who should I notify?

    If you need to decline your position for any reason, please email info@godasummit as soon as possible so that we can make preparations for your absence.


    I was not offered a position to be a Student Volunteer in 2025. What are my options?

    There are still many avenues to volunteer with GODA Summit. You can also read and contact the GODA Summit  about summit volunteer opportunities and the committees list for both summitand year-round volunteer opportunities. Students are also offered a considerable discount on registration.
